Refunds and cancellations

Scope

This policy applies to professional engagements described on this site: budget variance analysis, financial planning dashboard design, monthly variance retainers, and board pack panel preparation. It does not cover products, software licences, or physical goods, which we do not sell.

Eligibility and timeframe

Refund requests must be emailed to info@panel-nestbase.click within 14 days of the invoice date for prepaid amounts, or as otherwise stated in your engagement letter. Requests should include the engagement name, invoice number, and reason.

Full refunds

A full refund of amounts paid is available if we cancel an engagement before kick-off for reasons within our control, or if you cancel in writing before the agreed kick-off date and before we have commenced discovery work.

Partial refunds

If you cancel after kick-off, fees for work already performed — including workshops held, data reconciliation started, or drafts delivered — are non-refundable. Any unused prepaid balance for unfinished phases may be refunded on a pro-rata basis at our reasonable assessment of remaining scope.

Non-refundable items

• Completed deliverables already accepted or used in a board or leadership pack
• Third-party costs incurred with your prior written approval
• Retainer months already started, except where we fail to deliver the agreed monthly draft without cause

Deposits

Kick-off deposits secure scheduling. Deposits become non-refundable once discovery workshops are booked and confirmed, unless we cancel.

Rescheduling

You may reschedule a kick-off or review session once without fee if you give at least five business days' notice. Later changes may attract a rescheduling fee of up to 10% of the engagement fee or one week of retainer value, whichever applies.

No-shows

If client attendees miss a confirmed workshop without 24 hours' notice, that session is treated as delivered for scheduling purposes and is not refunded.

Work already started

Once we have begun reconciliation or drafting against your data, cancellation triggers the partial-refund rules above rather than a full refund.

Process and timing

Approved refunds are processed to the original payment method within 14 business days of written approval. Bank processing times may add further days.
